Plan Ahead for a Smooth Transition

Moving out involves more than simply packing your belongings and returning the keys. Planning ahead can help avoid delays, reduce potential charges, and ensure a smoother move-out experience for both residents and property owners.

Residents are encouraged to review lease requirements, schedule moving services early, and begin preparing the property several weeks before their move-out date.

Provide Required Notice

Residents should review their lease agreement and provide any required written notice before vacating the property.

Notice requirements vary depending on the lease agreement and circumstances surrounding the move. Failure to provide proper notice may result in additional charges or continuing lease obligations.

Helpful Tip: Notice requirements and move-out procedures should be reviewed well before your intended move-out date.

Remaining in Possession After Lease Expiration

Residents are expected to vacate the property and return possession on or before the date required by the lease agreement.

Remaining in possession after the lease term ends or after a move-out date has passed may result in holdover charges, additional rent obligations, and other remedies available under the lease agreement and applicable law.

Because holdover situations can affect incoming residents, maintenance schedules, property preparation, and leasing commitments, residents should contact Azure Sky Realty immediately if circumstances arise that may impact their ability to vacate on time.

Important: Residents should not assume they may remain in the property beyond the lease expiration date without written authorization from Azure Sky Realty.

Maintain Utility Service

Utility services should remain active through the final day of possession unless otherwise instructed by Azure Sky Realty.

Disconnecting utilities early may delay inspections, cleaning, maintenance, or turnover activities and could result in additional charges.

Utilities may include:

  • Electricity

  • Wastewater

Update Your Forwarding Address

Residents should provide a forwarding address before move-out to help ensure the timely delivery of security deposit accountings, notices, and other important correspondence.

Schedule Moving Services Early

While ordinary wear and tear is expected, the property should be free of personal belongings, trash, excessive dirt, food items, and other items that may interfere with cleaning, maintenance, or future occupancy.

Personal Property & Trash Removal

All personal belongings, furniture, trash, and other items not belonging to the property should be removed before possession is returned.

Items left behind may result in removal, disposal, storage, cleaning, or labor charges as permitted by the lease agreement and applicable law.

Carpet & Flooring Care

Residents should vacuum carpets, sweep and mop hard surface flooring, and address any excessive dirt, stains, spills, or pet-related conditions.

Before returning possession, residents are encouraged to thoroughly document the property's condition.

Taking photographs and maintaining records can help create a clear record of the home's condition at the end of the tenancy and may assist in resolving questions regarding cleaning, damages, or security deposit accounting.

Maintenance & Damage

Understanding Property Condition at Move-Out

During the move-out inspection, Azure Sky Realty evaluates the property's condition and compares it to the condition documented at move-in, while considering the effects of ordinary use over time.

Not every condition discovered during a move-out inspection results in charges. Properties naturally experience wear as they age, and residents are generally not responsible for ordinary wear and tear that occurs through normal use.

Normal Wear and Tear

Examples of normal wear and tear may include minor scuffs, worn carpeting from normal foot traffic, fading caused by sunlight, or other conditions that occur through ordinary use of the property over time.

Damage Beyond Normal Wear and Tear

Damage generally occurs when a condition results from negligence, misuse, accidents, unauthorized alterations, or a failure to properly care for the property. Excessive stains, broken fixtures, damaged doors, large wall repairs, missing items, and pet-related damage are common examples.

Report Problems Early

Residents should report maintenance concerns when they occur rather than waiting until move-out. Prompt reporting often helps prevent additional damage, improves repair outcomes, and may reduce potential resident liability.

The move-out inspection is not intended to identify every minor cosmetic imperfection. Instead, it is designed to evaluate the overall condition of the property, identify maintenance concerns, and determine whether repairs or cleaning beyond ordinary wear and tear may be necessary.

Security Deposits & Final Accounting

Understanding the Security Deposit Process

After possession has been returned and the move-out inspection has been completed, Azure Sky Realty will review the property's condition, outstanding balances, and any applicable charges in accordance with the lease agreement and Texas law.

This review may include cleaning, maintenance, repairs, unpaid balances, missing items, and other lease-related obligations.

Forwarding Address Required

Residents should provide a forwarding address before or at move-out.

Providing an accurate forwarding address helps ensure the timely delivery of security deposit accountings and any related correspondence.

Security Deposits Are Not Last Month's Rent

Unless specifically authorized in writing by Azure Sky Realty, residents should not assume their security deposit may be applied toward rent, fees, utilities, or other lease obligations.

All amounts due under the lease remain payable through the end of the tenancy.

The move-out inspection, photographs, resident documentation, and lease agreement all help establish the property's condition at the end of the tenancy and support the final accounting process. Residents are encouraged to retain these records until the security deposit reconciliation process has been completed.

What Is Reviewed?

The move-out review may consider:

  • Property condition

  • Cleaning requirements

  • Damage beyond normal wear and tear

  • Outstanding lease balances

  • Missing keys, remotes, or access devices

  • Unauthorized alterations

  • Other obligations outlined in the lease agreement

Not every move-out results in deductions, and not every condition identified during an inspection will result in a charge.

Security Deposit Refunds for Multiple Residents

When multiple residents have contributed to a security deposit under a single lease agreement, Azure Sky Realty's standard policy is to issue one security deposit accounting and one refund check payable to all residents listed on the lease.

The refund check may be mailed to any one resident at the forwarding address provided. It is the responsibility of the residents to determine how funds are distributed among themselves.

Requesting Individual Deposit Checks

Residents may request that a security deposit refund be divided into separate checks. If approved:

  • An administrative fee will apply.

  • The deposit refund will be divided equally among all leaseholders.

  • The refund will not be allocated based on individual room condition, damages, or personal contributions to the original deposit unless separate leases were executed for each resident.

  • Separate checks will be mailed to the forwarding address provided by each resident.

Helpful Reminder

To help avoid delays in processing deposit refunds, all residents should provide accurate forwarding addresses before move-out and communicate with one another regarding how any refund should be distributed.

Pet Deposits

Any pet deposits, animal deposits, or similar deposits collected under the lease are included as part of the overall security deposit reconciliation process and are not accounted for separately.

When a security deposit refund is divided among multiple residents, any refundable portion of animal-related deposits will be included in the equal division of the total refund amount.

Questions About Security Deposit Accounting

Azure Sky Realty understands that residents may occasionally have questions regarding cleaning charges, repair expenses, security deposit deductions, or other items included in a move-out accounting.

Residents who believe an error has occurred should review the accounting statement and any supporting documentation before contacting our office. Questions can often be resolved more quickly when residents provide photographs, receipts, invoices, or other records related to the move-out process.

Azure Sky Realty may review move-in documentation, inspection reports, photographs, vendor invoices, maintenance records, lease provisions, and resident-provided information when evaluating questions regarding security deposit charges.

Returning Keys & Possession

Returning Possession to Azure Sky Realty

The move-out process is not complete until possession of the property has been returned to Azure Sky Realty.

Residents should follow all move-out instructions provided by management and ensure that all required items are returned before the lease termination date.

Return All Access & Security Information

Before move-out is complete, residents should return or provide any items necessary to access and secure the property, including:

  • House keys

  • Mailbox keys (if applicable)

  • Garage door remotes

  • Gate access devices

  • Pool keys or access cards

  • Community access devices

  • Alarm system codes

  • Smart lock access information

  • Any other property-specific access devices or credentials

Items or information that are not returned may result in replacement, reprogramming, rekeying, service call, or administrative charges as permitted by the lease agreement.

Return Keys and Access Devices On Time

Keys, remotes, access cards, gate devices, and other access items should be returned at the time possession is surrendered and in accordance with Azure Sky Realty's move-out instructions.

Access devices returned after possession has been surrendered may result in additional charges. In some cases, Azure Sky Realty may need to rekey locks, deactivate access devices, update security credentials, or take other measures to secure the property before the late-returned item is received.

Residents remain responsible for any applicable costs associated with unreturned or late-returned access devices as permitted by the lease.

Unauthorized Lock Changes

Residents are generally prohibited from rekeying, replacing, or otherwise modifying locks without prior written approval from Azure Sky Realty.

If approval is granted, residents must provide Azure Sky Realty with working keys and access information for all locks at all times.

If Azure Sky Realty is unable to access the property due to an unauthorized lock change, missing key, or failure to provide required access, residents may be responsible for costs incurred to regain entry, secure the property, replace locks, rekey locks, or repair any damage resulting from the entry process.

Leaving a key inside the property at move-out does not satisfy the requirement to return possession if Azure Sky Realty does not have a working key capable of accessing the property.

Security Systems & Alarm Codes

Residents should deactivate any monitoring services, remove personal alarm accounts when applicable, and provide Azure Sky Realty with any required alarm codes, access credentials, or instructions necessary to access the property.

If Azure Sky Realty is unable to access or secure the property because alarm systems remain active, codes are not provided, or security devices have been modified without authorization, residents may be responsible for resulting service calls, lockout expenses, reprogramming costs, or other reasonable expenses incurred to regain access.

Vacate Completely

All residents, occupants, pets, vehicles, and personal belongings should be removed from the property before possession is returned.

Leaving property behind does not extend the lease term and may result in additional charges for removal, storage, cleaning, or disposal.

Holdover Occupancy

Residents who remain in possession of the property after the lease termination date without authorization may be subject to holdover provisions contained in the lease agreement.

This can include additional rent, fees, damages, or other remedies available under the lease and applicable law.

Residents who anticipate any issue meeting their move-out deadline should contact Azure Sky Realty as soon as possible.

Before You Leave

To help ensure a smooth move-out process:

  • Schedule movers, utility transfers, and travel plans in advance.

  • Return all keys, remotes, access cards, and other access devices.

  • Provide any alarm codes, smart lock information, or security credentials needed to access the property.

  • If locks were changed during the tenancy, contact Azure Sky Realty before move-out to ensure proper access has been restored.

  • If you discover a key or access device after move-out, notify Azure Sky Realty immediately.
